AI systems that take the document chase off an accounting team

Client documents read and filed, approvals routed, systems kept in step and month-end figures assembled, inside the software your practice already runs.

The work, in your words

Every engagement starts with a chase. Statements, receipts and slips arrive by email, portal and photo, and someone sorts, renames and keys them before the real work begins. Approvals wait in inboxes. The same client details live in three systems and match in none of them. Month end means pulling the same figures together by hand, again.

Fit

How it fits what you already run

We work with the practice management, bookkeeping and document software your firm already uses, plus email and client portals. Where a system allows an integration we use it; where it allows only an import, we prepare the import and tell you so.

Works with tools such as

  • QuickBooks
  • Xero
  • Outlook
  • Gmail
  • Google Drive
With your people

What stays with your people

  • Every judgement call: the classification of anything unclear, and all advice.
  • Sign-off on every filing, and anything sent to a client or a tax authority.
  • The decision to change a client’s records.
Obligations

Your obligations, handled in the open

How we work, not legal advice
  1. 01

    Confidentiality

Your clients trust you with financial records, identification and tax information. We process it only where you approve, keep it only as long as agreed, and never use it to train models for anyone else.

  2. 02

    Professional standards

Your professional body sets rules on client confidentiality, record keeping and the supervision of work. We document how each system works and how it was tested, so a reviewer can supervise it the way they would supervise a junior.

  3. 03

    Privacy law

Depending on where your firm and your clients are, private-sector privacy law may require you to tell clients when their information is handled by a service provider outside the country. We map where every piece of data goes so that you can answer that question. This is how we work, not legal advice. Your organisation and your counsel decide how your obligations apply.

Limits

What we do not do

  • Give tax, accounting or financial advice.
  • File anything with a tax authority, or send anything to a client, without a person’s sign-off.
  • Change figures in your ledger without an approval step.
  • Replace your practice management or bookkeeping software.
FAQ

Questions we are asked

Our bookkeeping software already reads receipts. Why would we need this?

Use your software’s features where they cover you. We build the parts they do not: the sorting across clients and periods, the routing, and the connection between your tools.

What about scanned and handwritten documents?

We test them separately on your own files during the diagnostic and tell you plainly how they perform before anything goes live.

Where is client data processed?

Where you approve. You get a data map before we build, and Canadian hosting is available.

Can it work during busy season?

That is when it is tested hardest. We run it beside your team first, compare results, and only then let it take work on its own.

Tell us about one workflow that eats your team’s week.

Fifteen minutes on a call. We ask about the work, and we tell you plainly whether a system fits.
