AI systems that take the paperwork off a brokerage team
Document intake, service requests, renewal follow-up and record checks, handled inside your broker management system, email and phones.
Hi, we need a certificate of insurance for the new site by Friday. Can you send one?
Certificate drafted from the policy on file. Holder and site address filled in from the request.
Your CSRs are licensed professionals. Too much of their day goes to retyping: from the client’s email or PDF into your broker management system, then again into a carrier portal. Certificates, policy changes and billing questions interrupt account work all day. Every retyped field is also a place where an errors and omissions problem can start.
- 01
Document intake into your BMS
Applications, declarations pages and schedules read from email and prepared as records for your broker management system, with every field linked to its source.
Built on Document intake - 02
Service request desk
Certificate, change and billing requests sorted, each one carried from open to closed, with the response drafted for a CSR to approve.
Built on Order and case handling - 03
Renewal and document follow-up
Reminders and requests for missing information sent to clients who have agreed to hear from you, with replies tracked.
Built on Outbound follow-up - 04
Record checks before trouble
Duplicate clients, missing dates and mismatched policy numbers flagged in your records before a renewal or a claim finds them.
Built on Data quality checks
How it fits what you already run
We work with the broker management system you already run, plus your email and phones; you do not adopt a new app. Before we build we confirm what your BMS allows (an integration, an import, or an approved automation), and if something cannot be done safely we tell you.
Works with tools such as
- Outlook
- Gmail
- SharePoint
- Twilio
What stays with your people
- Anything about coverage: advice, binding, and changes to a policy.
- Every outgoing message until the accuracy thresholds you set have been met.
- Any complaint, and any claim beyond first contact.
Your obligations, handled in the open
How we work, not legal advice- 01
Privacy
Private-sector privacy law applies to the client information a brokerage holds, and in some provinces you must tell clients when a service provider outside Canada handles their information. We map exactly where each piece of data goes, and offer Canadian hosting where you need it.
- 02
Errors and omissions
Every automated action is logged with the input it used. Anything below the confidence threshold goes to a person. The system never binds coverage and never gives advice.
- 03
Carriers
Tell us about any data clauses in your carrier agreements and we design within them. This is how we work, not legal advice. Your organisation and your counsel decide how your obligations apply.
What we do not do
- Bind coverage, or give coverage advice.
- Make calls to anyone who has not agreed to receive them.
- Rebuild what your BMS or existing software already does well.
- Process client data anywhere you have not approved.
Questions we are asked
Will this create E&O risk?
It is designed to reduce it. Outputs are tested on your files first, low-confidence items go to a person, and every action is logged so you can audit it.
Our BMS vendor is adding AI. Why would we need this?
Use your vendor’s features where they cover you. We build what they do not, and connect it to what you have.
Does client data leave Canada?
Only if you approve it. You get the data map before anything is built, and Canadian hosting is available.
We tried a chatbot. It did not help.
A chatbot answers questions. This reads your documents, drafts your records and carries requests to a CSR for approval, inside the tools you already use.
Tell us about one workflow that eats your team’s week.
Fifteen minutes on a call. We ask about the work, and we tell you plainly whether a system fits.
