Outbound follow-up
Follow-ups go out on time, in your words, and every reply comes back to the right person.
A system that sends the follow-ups your team means to send: after a quote, before a renewal, after a missed appointment. It drafts each message from your templates, waits for your approval where you want it, and tracks every reply.

How it works
The pipeline, step by step.
- 01
A trigger fires
A quote sent, a renewal date approaching, an appointment missed, an invoice unpaid. The triggers come from your own records.
- 02
The message is drafted
From your templates, with the contact details filled in and the right wording for the situation.
- 03
A person approves where you choose
Some sequences go out on their own. Others wait for sign-off. You set the rule per sequence.
- 04
The message is sent
By email or text, from your own addresses and numbers, at the time you set.
- 05
Replies are read and routed
A yes, a question, a request to stop: each goes to the right person or the right next step.
- 06
The record is updated
Every send, open and reply is written to your CRM against the contact.
Connects to tools such as
- Gmail
- Outlook
- Twilio
- HubSpot
- Salesforce
- QuickBooks
- Google Calendar
These are examples. We confirm the method for each of your tools before we build.
Where a person approves
The points where the system stops and waits for a person.
- You approve every template and every sequence before it runs.
- A sequence can require sign-off on each message, or run on its own once you trust it.
- Any reply that is not a plain yes or no reaches a person, never an automated answer.
- A request to stop is honoured at once and recorded.
How it is measured
Named measures, scored on your own files before launch and after every change.
- Delivery and reply tracking: whether each message was sent, received and answered.
- Routing accuracy: whether replies reached the right person, checked on a sample each month.
- Draft quality: the share of drafts approved without an edit.
How it is run
After launch: monitoring, updates and what you own.
- Monitoring on every send: bounces, failed sends and unrouted replies raise an alert.
- Template and sequence changes are reviewed with you before release.
- Handover: a runbook, a data map and code owned by the business.
What it will not do
Limits we set on purpose.
- It does not message anyone who has not agreed to hear from you.
- It does not make outbound phone calls.
- It does not negotiate, discount or promise on your behalf.
- It does not continue after a request to stop.

Questions
Which follow-ups can it send?
Any that start from a record you hold: a quote, a renewal date, a missed appointment, an unpaid invoice. We build the sequences you ask for.
Do we have to approve every message?
No. You choose per sequence. Routine confirmations can go out on their own; anything with judgement in it can wait for sign-off.
What happens when someone replies?
The reply is read and routed. A yes moves the record forward, a question goes to the right person, a request to stop ends the sequence.
Does it send from our addresses?
Yes. Messages go from your own email addresses and phone numbers, so replies arrive where your team already works.
