This page is a draft written to match what the site collects. It is being reviewed before launch.
What this covers
This policy covers the webridgeAI website. It does not cover the systems we build for a client; those are covered by the data map and the written agreement for each engagement. webridgeAI is based in Calgary, Alberta, Canada.
What we collect
We collect only what you give us, plus the minimum a web server records.
- The contact form: your name, work email, role, company, company size, sector, an approximate revenue range, the type of work, your description of it, a budget range, your timing, and whether you asked for research updates.
- The collaborate form under Research: your name, email, affiliation, the question, links to prior work, and your message.
- The booking tool: the name, email and time you give when you book a call. The booking page is run by Cal.com, and the call takes place on Google Meet.
- The site assistant, where it is enabled: the messages you type are sent to the model provider we use so it can generate a reply. Do not put client information into it.
- The document demo on the Document intake page, where it is enabled: the file you choose is sent once to the model provider we use so it can be read. We do not store the file or what was read from it. Do not upload anything confidential.
- The voice demo on the Demos pages and on the Inbound call handling page, where it is enabled: you speak with an automated assistant on one of six demo lines. Your voice is sent to the voice provider we use so the conversation can take place. No recording is kept. During the call the assistant notes the details you give, such as a name, a callback number and the reason for the call, so they can be shown on your own screen. The provider keeps the transcript for 30 days and then deletes it. When the call ends, the transcript and those details are sent once to the model provider we use so the page can show what a system would do with the call. We do not store the transcript or the details. If you agree to a confirmation on the call, one sample message is sent after it to the number you gave, and to the email address you gave if you gave one, through the messaging and email providers we use. We keep neither. Do not say anything confidential.
- Server logs: the address of your connection, the page requested, the browser, and the time. These are kept briefly for security and to keep the site running.
- An application for contract work on the Careers pages: the kind of work, where you are based, your name, email, phone if you give it, links to your work, your availability and rate, whether you can work in Canada as an independent contractor, your note, and your résumé. It is emailed to us and this website stores none of it. We keep it for up to twelve months, then delete it.
We count visits with Vercel Web Analytics, and see how the site is used with PostHog. Neither sets a cookie, stores anything in your browser or can tell who you are. They record the page, the link or site you came from, your country and your kind of browser and device; PostHog also records what was clicked and a replay of the visit, with everything you type hidden, as is the text of the site assistant and the demos. We do not use analytics cookies, advertising pixels or retargeting. What the site does store in your browser, and the one optional service, are in the cookie policy at /cookies.
Why we collect it
To reply to you, to prepare for the call you booked, and to keep the site secure. Nothing else.
- A form submission is used to answer your inquiry and to prepare for a first call.
- Research updates are sent only if you ticked the box. The box is unchecked by default. Every email names webridgeAI as the sender and carries an unsubscribe link, and an unsubscribe is honoured at once.
- We do not sell, rent or trade personal information, and we do not add anyone to a list they did not ask for.
Who processes it, and where
A few service providers handle data on our behalf. Some of them process it outside Canada.
- Form submissions are stored in HubSpot, which may process data in the United States.
- Bookings are handled by Cal.com, which may process data outside Canada.
- The website is hosted on Vercel, whose servers may be outside Canada.
- How the site is used (pages viewed, clicks and replays of visits) is recorded by PostHog, which processes it in the United States.
- The site assistant, where enabled, sends your messages to the model provider we use, which may process them outside Canada.
- The two live demos, where enabled, send the file you choose or the call you make to the model provider and the voice provider we use, which may process them outside Canada.
We tell you here before a new provider handles website data.
How long we keep it
A form submission is kept for as long as we are in contact about it and for a routine review period after, then deleted. Server logs are kept for a short time and then discarded. You can ask us to delete your information sooner at any time.
Access, correction and deletion
Write to info@webridgeai.com to ask what we hold about you, to correct it, or to have it deleted. We reply within one business day and act within a reasonable time. If a provider holds a copy, we ask them to delete it too.
How we protect it
Connections to the site are encrypted. Access to form submissions is through dedicated accounts with multi-factor authentication. The practices we apply to client systems are described on the Security and trust page.
Changes and contact
We update this page when what the site collects changes, and we put the date at the top. Questions about privacy go to info@webridgeai.com.
