Scheduling and dispatch

Appointments are booked, confirmed and assigned to the right person, and the schedule stays current.

A scheduling system built on your calendar and your rules: who can do what, where and when. It books, confirms, reschedules and assigns work, and keeps the record straight in the software you already use.

01

How it works

The pipeline, step by step.

  1. 01

    A request arrives

By phone, chat, web form or email, or from an open order or case.

  2. 02

    The job is understood

The service, the duration, the location and any requirement: a licence, a room, equipment.

  3. 03

    Availability is checked

Against your calendar, your rules and the people who can do the job.

  4. 04

    A slot is offered

The requester sees options that fit. The system holds the slot while they choose.

  5. 05

    The booking is confirmed

A confirmation goes out, the calendar is updated and the person assigned is told.

  6. 06

    Changes are handled

Reschedules, cancellations and no-shows update the calendar and trigger the follow-up you set.

  7. 07

    The record is kept

Every booking and change is written to your practice, field service or booking software.

Connects to tools such as

  • Google Calendar
  • Outlook
  • Cal.com
  • Twilio
  • WhatsApp
  • Stripe
  • Slack

These are examples. We confirm the method for each of your tools before we build.

02

Where a person approves

The points where the system stops and waits for a person.

  • You set the rules: hours, buffers, who can do which job, and what the system may book on its own.
  • Bookings that break a rule or need a judgement go to a person before they are confirmed.
  • Assignment to a named person can be automatic or reviewed by a dispatcher. You choose.
03

How it is measured

Named measures, scored on your own files before launch and after every change.

  • Booking accuracy: the share of bookings placed within your rules, checked against the calendar each week.
  • Confirmation delivery: whether each confirmation and reminder was sent and received.
  • Change handling: reschedules and cancellations reflected in the calendar, measured on a sample.
04

How it is run

After launch: monitoring, updates and what you own.

  • Monitoring on every booking: double bookings, failed confirmations and sync errors raise an alert.
  • Rule changes are tested against a copy of your calendar before release.
  • Handover: a runbook, a data map and code owned by the business.
05

What it will not do

Limits we set on purpose.

  • It does not override a rule you set, even when a requester asks.
  • It does not assign work outside a person’s hours or skills.
  • It does not take payment or deposits unless you connect a payment system you already use.

Questions

Which calendars does it work with?

The one you use. We connect to your practice, booking or field service software and read and write the same calendar your team sees.

Can it dispatch technicians?

Yes. It assigns by skill, location and availability, and a dispatcher can review each assignment before it is sent.

What about reschedules and cancellations?

They are handled the same way: the calendar is updated, the person assigned is told, and the follow-up you chose is sent.

How does it avoid double bookings?

It holds a slot while the requester chooses and writes the booking to your calendar as the single source. A conflict raises an alert.
